Refund Policy

This Refund Policy applies to workshops, seminars, and private chart reviews booked with Panel Poplar Core Co., Ltd. It supplements the Terms of Service.

1. Deposit and confirmation

A THB 5,000 deposit holds a seat for multi-day workshops and single-day seminars. Private chart reviews require full payment at confirmation. Your seat is confirmed when we send a written confirmation email and receive the required payment.

2. Cancellation by participant — workshops and seminars

• More than 21 days before start: Full refund of all amounts paid, or transfer to a later session at no fee.
• 8–21 days before start: Deposit retained; balance refunded if already paid. One free reschedule to a session within six months.
• 7 days or fewer before start: No refund except as below for documented emergencies. Reschedule fee of THB 2,500 if a later seat is available.

3. Private chart review cancellation

• More than 48 hours before appointment: Full refund or reschedule at no fee.
• Within 48 hours: 50% refund or one reschedule within thirty days.
• No-show: No refund. Chart preparation time is allocated in advance.

4. Cancellation by Panel Poplar Core

If we cancel a session due to instructor illness, insufficient enrollment, or venue issues, you receive a full refund or priority transfer to the next available date — your choice. We notify you as early as possible.

5. Non-refundable items

• Deposits forfeited under the 7-day cancellation window (section 2)
• Private review no-shows (section 3)
• Printed materials already shipped for remote preparation when cancellation occurs within 7 days
• Third-party costs we cannot recover (special venue hire booked at your request)

6. Partial attendance and work started

If you leave a workshop after day one begins, no partial refund is issued — seat materials and instructor time are allocated for the full program. If we deliver a private review session in full, the fee is non-refundable regardless of whether you agree with the analysis.

7. Rescheduling

One complimentary reschedule is included when cancelling within the 8–21 day window (workshops/seminars). Additional reschedules incur THB 2,500 administrative fee. Rescheduled seats are subject to availability; we suggest alternate dates within six months.

8. Refund process and timing

Approved refunds are processed to the original payment method within fourteen business days. Bank transfer refunds in Thailand typically settle within three to five business days after we initiate payment. International transfers may take longer depending on your bank.

9. Emergency exceptions

Documented medical emergencies or government travel restrictions may qualify for credit toward a future session outside standard windows. Contact us with supporting documentation; decisions are made case by case.

10. Corporate and closed cohort bookings

Contracts for corporate groups may specify different cancellation terms in writing. Where no custom terms exist, this policy applies.
